A simple practice to make every meeting intentional, focused, and meaningful.

 

Too many meetings start without clarity — no goal, no follow-up, just drifting from topic to topic. Three small habits change that: preparation, structure, and five minutes of reflection afterwards.

 

Prepare

Your quiet reset before the meeting. It is not about notes — it is about intention. A few questions move you from passive attendee to purposeful contributor.

  • What do I want from this meeting?
  • What is unresolved from last time?
  • What truly needs to be discussed?
  • What is my value here — and when is a good moment to say it?
  • What two things do I want to make sure I raise?
  • What do I want to park?

 

Engage

Meetings do not have to drag. With a little structure, they stay sharp and respectful of everyone's time.

  • Set a clear agenda with time per topic.
  • Start with the goal — what are we deciding?
  • Use a visible timer.
  • Assign a facilitator to guide the flow.
  • Park off-topic ideas in a parking lot for later.
  • End with action items — who, what, by when.
  • Let one person, or everyone, take notes for clarity.

 

Reflect after

Five minutes after the meeting. This is how teams grow — moment by moment.

  • What decisions were made?
  • Did we stay on track?
  • What went well — and what could improve?
  • Were all voices heard?
  • How did I contribute — and how can I listen better?
  • What is my one action, and by when?
  • What needs follow-up — and what can wait until next time?
